Responsibilities (how we will measure success)
- Within the Fund department, the main responsibilities of the Fund Accounting Officer will be responsible for a portfolio of clients through the Fund Accounting and Transfer Agent systems Paxus/Demasy/Investran/DX and Navigator
- You will be responsible for a portfolio of clients and will work as part of a team to achieve and meet their needs.
- To be on top of all the tasks and be disciplined and consistent on the day-to-day tasks.
- You will also be responsible to ensure that filings (CIT/VAT/Annual Accounts) with the Luxembourg administration are being done on a timely basis and within the legal deadlines.
Tasks (what does the role do on a day-to-day basis)
- Taking care of the day-to-day operations of the funds and following up with third parties, including clients.
- Taking care of the day-to-day (review) operations of the funds (Private equity and real estate funds) and SPv’s and following up with third parties, including investors and fund managers.
- Reviewing, managing and validation all work delivered by our back-office team
- Work closely with the immediate senior and assist with the planning/review/validation work performed by other team members to meet clients’ deadlines using our available internal systems.
- Preparation and handling of the funds’ periodic Net Asset Value calculation, financial statements under LuxGAAP and IFRS, including other regulatory reports due to the CSSF and BCL.
- Make sure that Fund Accounting and TA procedures are duly followed and completed; that checklists are completed on time and in compliance with internal standards.
- Engage in investor services, assisting with the AML/KYC team at investor onboarding stage and provide all information to our back office in a timely manner preparation and issuance of capital calls, distributions and equalisations as well as issuance of shareholders’ statements including capital account statement if necessary in accordance with distribution list regularly updated
- Assisting in the coordination of year-end audits within agreed timelines
- Preparing periodic taxes (subscription tax, VAT, corporate income tax) and maintaining relevant contact with the Luxembourg tax authorities and tax advisers;
- Handling of all incoming requests, either from client
- Provide client service & support for BAU and ongoing operational issues
- Maintain shareholders’ register and records
- Assist in the process of change of investors’ information with the KYC Team
- Archiving all Fund accounting documents (bank statements, invoice, tax assessment, …) via Navigator
- Ensure relevant information is shared to our back-office teams and other dedicated teams, including depositary and AIFM team if any
- All emails, Accounting or TA related, must be acknowledged within 24 hours
- To ensure a good coordination with back-office teams and to follow query log provided by them until completeness
- Ability to work into more complex structures
- Improving hierarchy relationship by reporting regularly encountered problems, outstanding work (escalation process) and any risk identified.
- Follow-up of the incidents until full completion of corrective & preventive measures.
- Maintaining efficient external and internal relationships with clients, managers, KYC, company secretarial, business implementation, client directors, auditors…
- Participation in the launch of new funds (or sub-funds)
Qualifications
- Bachelor Degree in Economics or Finance
- ACCA is a great asset
- 1 - 3 years in an audit firm, service provider or 1- 2 years accounting experience in Private Equity/Real Estate alternative funds
- Fluent in English is essential
- French and/or German language (desirable)
- Exposure to Lux GAAP and EVCA/INREV/IPEVC guidelines is an asset
