THIS ROLE

The Executive Assistant is a key administrative professional who supports the Head of Global Client Delivery - Philippines and serves as the primary point of contact for executives, managing schedules, coordinating meetings, and handling correspondence. As a trusted partner, they help maintain operational efficiency, coordinate logistics, and facilitate communication across departments while interacting with internal and external stakeholders, including employees, clients, and business partners. This role requires a high level of professionalism, adaptability, and discretion, with a strong commitment to maintaining the confidentiality of sensitive information, systems, and executive operations.

WHAT YOU WILL DO

  • You'll manage executive calendars, coordinate meetings, appointments, and travel arrangements to ensure seamless scheduling and logistics.
  • You'll prepare agendas, meeting materials, minutes, reports, presentations, and correspondence, ensuring accuracy, professionalism, and timely communication.
  • You'll support project coordination by tracking deadlines, monitoring progress, conducting research, and analyzing data to inform decision-making.
  • You'll maintain organized records, databases, and administrative processes while handling confidential information with the highest level of discretion and integrity.
  • You'll provide exceptional support to internal and external stakeholders by managing daily priorities, resolving office-related issues, and fostering collaboration across teams.

Qualifications

ABOUT YOU

 

  • You have at least two 2 years of experience in an administrative role, preferably supporting executive-level leaders.
  • You are highly proficient in Microsoft Office and collaboration tools, including Word, Excel, PowerPoint, Outlook, Forms, and SharePoint.
  • You demonstrate excellent communication, organizational, multitasking, and time-management skills, with strong attention to detail.
  • You can effectively prioritize competing responsibilities, work independently in a fast-paced environment, and adapt to changing business needs.
  • You possess strong problem-solving, critical-thinking, and interpersonal skills, while handling confidential information with professionalism and discretion.
