Assistant manager, Corporate Administration

Job Description

This role offers an exciting opportunity to support and lead a high‑performing Corporate Secretarial team delivering services to the Luxembourg Fund CS & CoSec function. Working closely with the Manager – Fund Corporate, you will help drive service excellence by overseeing complex client work, monitoring KPIs, and ensuring quality and timeliness across deliverables. You will play a hands‑on leadership role, guiding, coaching, and developing team members while fostering a culture of continuous improvement. Ideal for candidates who enjoy combining technical expertise with people leadership in a global, collaborative environment.

What you'll do

  • You’ll oversee corporate secretarial service delivery for Lux Fund clients in line with SLAs, ensuring accuracy, quality, timeliness, and adherence to all applicable procedures, laws, regulations, and risk controls.
  • You’ll monitor, review, and support the Indian Cosec teams by addressing quality and timeline issues, managing escalations with cluster counterparts, and ensuring consistent compliance with agreed standards.
  • You’ll coach and develop team members through technical and non-technical guidance, structured feedback on deliverables, and endorsement to appropriate learning and development initiatives.
  • You’ll act as a key stakeholder partner by maintaining effective communication, managing crucial conversations, building strong relationships, and developing specialist knowledge of designated client requirements, SOWs, and SLAs.
  • You’ll support governance and reporting by validating client requirements, assisting with compliance reporting and root-cause analysis, enforcing process standards, maintaining accurate client databases, and tracking and reporting KPIs.

Qualifications

  • You hold a bachelor’s degree in Law or a related discipline, are a qualified Chartered Secretary, and have 8+ years of relevant professional experience.
  • You are well-versed in corporate secretarial practices, particularly for Funds and Special Purpose Vehicles (SPVs), with strong exposure to private equity and real estate markets and various fund structures.
  • You bring proven experience in managing service operations, client deliverables, and staff, including performance management and conducting appraisals.
  • You have hands-on expertise in board governance and corporate secretarial functions, including preparing board materials, attending or leading board meetings, acting as Company Secretary, drafting complex minutes, and completing regulatory filings.
  • You demonstrate strong written and advanced verbal communication skills and are proficient in Microsoft Office applications, including email, word processing, Excel, presentations, and video conferencing tools.

Desired

  • Experience working in Financial Services or Shared Services office environment.
  • Experience working in a multinational office environment.
  • Experience being a corporate secretary, paralegal, or other similar job, in other jurisdictions.
  • Being conversant with corporate secretarial practices, especially in the areas of funds and special-purpose vehicles is an advantage
