We have a great opportunity for a Segment Support Manager to join our Group Operations team. The successful role holder will support 2 to 3 senior executives: Group Head of Fund and Asset Managers and Global Head of Private & Institutional Asset Owners. 

This role is eligible to work under our company hybrid working framework.

Responsibilities

A true team player, with excellent communication skills you will ensure that our segment leaders’ time is maximised and that their diaries run smoothly.

You will take over administrative or coordination responsibilities and handle other day-to-day items while attending meetings on behalf of the segment leaders to minute key meetings and organise strategic planning processes across the organisation. 

You play an important role because you oversee various aspects of managing the logistics of Group Head of Fund and Asset Managers / Global Head of Private & Institutional Asset Owners daily work, including presentations, interactions with colleagues, and scheduling.

You are the key to ensuring that segment leaders constantly remain in touch with their colleagues by taking over daily duties, interacting closely with stakeholders, and identifying and addressing any issues that may arise. You are also responsible for gathering and filtering key information when shared up through executive ranks.

You will have previous experience dealing with conflicting priorities, whether that's diary and travel management, attending senior leadership meetings to take minutes and issuing agendas, or chasing actions. You will be dynamic, organised and adaptable, thriving in a varied and fast-paced environment.

A previous exposure to the financial industry and any experience in the provision of corporate or fund services will be an advantage.

 

Tasks

  • Diary management and workload management
  • Managing the email inboxes and responding on the segment leaders behalf as agreed
  • Processing and managing expenses, invoices and purchase orders for the segment leaders
  • Co-ordinate progress updates, regular segment reporting and information gathering and sharing of marketing, events, product development and people updates
  • Liaising with Group Finance for budget updates, and regular summaries, identifying exceptions or overruns to YTD budgets and escalating them  
  • Building and actively coordinating agendas for internal & external team meetings
  • Minute taking and ensure all actions are captured and followed up
  • Ensure segment stakeholders are fully prepared for all meetings and provide proactive support and heads up for group executive meetings (adhoc and regular)   
  • Proactive follow up of management meetings and offsite actions with key stakeholders to ensure timely delivery

Qualifications

  • 7+ years’ experience supporting C-Level Executives and or in Chief of Staff roles
  • Previous exposure to Project Management focused on corporate is a great asset
  • Essential to have a quality-driven, professional, curious, and proactive approach
  • Advanced experience of Microsoft Outlook, Word and Powerpoint
  • Working knowledge of Excel
  • Ability to organise, prioritise workload and demonstrate adaptability
  • Goal and deadline oriented
  • Self-driven and motivated, with an ability to show initiative in all situations and the ability to take responsibility for actions
  • The ability to challenge and see beyond current state – spot opportunity for process improvement and act upon these observations
  • The ability to pre-empt the needs of your stakeholders to ensure things run smoothly
