Responsibilities (how we will measure success)

  • The Project Officer will work alongside the Senior Project / Project Managers providing administrative assistance to support the successful delivery of a suite of projects across the IQ-EQ Group
  • Support preparations for meetings and events in a timely and detailed manner producing meeting agenda, meeting minutes and preparation of presentations and other documentation
  • Perform secretariat duties for the Change Delivery Team governance and reporting within the Digitalisation Programme and its portfolio of Projects
  • Provide Document Management Assistance within the Digitalisation Programme and its portfolio of Projects. This to include audit control of document storage, version control and professional folder structures.
  • Support Delivery Assurance activities carried out by the Change Delivery Team in relation to project delivery and conformance to processes, within the Digitalisation Programme.

Tasks (what does the role do on a day-to-day basis)

  • Perform secretariat duties relating to Digitalisation Programme team programme and project reporting by;
  1. Collating and consolidating the teams regular reporting and preparing this for distribution to sponsor groups and Programme/Project review forums e.g. PGF and GPMC.
  • Work with Senior Project / Project Managers to support the delivery of the Digitalisation Programmes and its portfolio of projects by;
  • Organising various meetings as requested by Senior Project / Project Managers, assisting in the preparation of agendas and other documentation required for the meeting
  • Prepare minutes of meetings for sign off by the Senior Project / Project Managers and other meeting attendees
  • Collate actions from meetings, monitor deadlines and assist the Senior Project / Project Manager in chasing up outstanding actions

  • Providing general administrative assistance for the production of programme / project documentation

  • Support the Senior Project / Project Manager and Project Analysts in the maintenance of risk and issues logs and other similar artefacts

    • Track all time spent on projects in NetSuite

    • Preparation of high-quality presentations to be delivered across a wide range of audiences/stakeholders

    • Assist in documentation of high-quality end to end processes and procedures

    • Provide Document Management Assistance for the Digitalisation Programme team in relation to use of approved Templates and Checklists;

    • Prepare and update programme / project templates and checklists with feedback from Senior Project / Project Managers and Project Analysts

    • Ensure appropriate version control is in place and maintained

      • Other

      • Support other departments as required within the confines of the Project Officers role

      • Undertake any additional reasonable duties as required the Firm

Required Experience

Essential Criteria:

  • 2 Year+ experience operating in a professional office environment demonstrating the skills to successfully perform the role
  • Excellent organisational, prioritisation and interpersonal skills
    • Comfortable communicating with diverse stakeholders including subject matter experts, peers, managers, customers and suppliers
    • ‘Can do’ attitude, ability to cope with tight deadlines and working under pressure
    • Ability to take initiative and self-manage
  • High degree of literacy in applications such as; MS Word, MS Excel, MS PowerPoint,
    • Fluent in English Language


Desired Criteria:

  • Undergraduate Degree
  • Experience of operating within a Technology / Digital programme / project environment
  • Experience of operating within a firm that shares some of the following features: -
    • Globally distributed teams
    • Financial Services
    • Fast-paced and rapidly evolving environment
  • Awareness of Project Management Frameworks
  • Previous experience operating within a PMO environment
  • Experience using MS Visio
