Job description

Responsibilities (how we will measure success)

  • The Junior Change Portfolio Analyst will work alongside the PMO Team and Project Office Supervisor providing administrative assistance to support the successful delivery of the change portfolio across the IQ-EQ Group
  • Support preparations for meetings and events in a timely and detailed manner producing meeting agenda, meeting minutes and preparation of presentations and other documentation
  • Perform secretariat duties for the change portfolio governance bodies as required
  • Provide document management assistance for the Change Delivery Team in relation to templates and checklists
  • Support delivery assurance activities carried out by the PMO team in relation to project delivery and conformance to processes
  • Support the monitoring and reporting of the change portfolio
  • Support the maintenance and updating of change portfolio documentation and tools
  • Contribute positively to the ongoing development of the PMO and wider Change Delivery team and their ways of working

Tasks (what does the role do on a day-to-day basis)

  • Perform secretariat duties for the PMO team reporting by;
  • Collating and consolidating the teams regular reporting and preparing this for distribution to senior management.
  • Work with Project Office Supervisor to support management and monitoring of the portfolio of projects by:
  • Organising various meetings as requested, assisting in the preparation of agendas and other documentation required
  • Prepare minutes of meetings for sign off by the Project Office Supervisor and other meeting attendees
  • Collate actions from meetings, monitor deadlines and assist the Project Office Supervisor in chasing up outstanding actions
  • Providing general administrative assistance for the production of documentation
  • Support the Project Office Supervisor, PMO, and wider Change Delivery team in the development of project artefacts
  • Track all time spent on projects in NetSuite
  • Assist in documentation of high-quality end to end processes and procedures
  • Provide Document Management Assistance for the Change Delivery team in relation to use of approved Templates and Checklists;
  • Prepare and update project templates and checklists
  • Ensure appropriate version control is in place and maintained
  • Contribute to the production of high-quality presentations through use of applications such as MS Powerpoint and Visio

Other

  • Support other departments as required within the confines of the Junior Change Portfolio Analysts role
  • Undertake any additional reasonable duties as required the Firm

Qualifications

Essential Criteria:

  • 1 Year+ experience operating in a professional office environment demonstrating the skills and experience to successfully perform the role
  • Excellent organisational, prioritisation and interpersonal skills
    • Comfortable communicating with diverse stakeholders including subject matter experts, peers, managers, customers and suppliers
    • ‘Can do’ attitude, ability to cope with tight deadlines and working under pressure
    • Ability to take initiative and self-manage
  • Good degree of literacy in applications such as; MS Word, MS Excel, MS PowerPoint, MS Visio
  • Fluent in English Language

Desired Criteria:

  • Undergraduate Degree
  • Experience of operating within a firm that shares some of the following features: -
